Job title: Personal Assistant
Location: Southwark, London

 

 

Your role

 

The Secretary is responsible for providing comprehensive, confidential secretarial support to the Head of Consumer Segment Tribes, in conjunction with administration responsibilities within an extremely busy Consumer function.

 

 

Key accountabilities and decision ownership:

 

  •  Extensive diary management and maintenance
  • Arrangement of the occasional rail, air and hotel travel as and when required.
  • Managing constantly changing priorities and schedules, demonstrating the ability to think ahead, anticipate issues and respond at speed.
  • Preparing and submitting of expenses.
  • Preparing, arranging and coordinating of internal and external meetings and events.
  • Producing and maintaining private and confidential documentation and records
  • Organisation/Co-ordination of team’s All Hands, offsite meetings as and when required.
  • Co-ordination and processing of any POs (Purchase Orders)as and when required, using EVO/SAP
  • Be a focal point of contact for the teams, assisting in queries as and when required
  • Assisting the HRBP in ensuring EVO is kept up to date with team changes
  • Assisting the Heads of departments in the DR(Direct Report) meetings, by setting up the agenda’s, taking minutes etc.
  • Ensuring the QMS (Quality Management System) is kept up to date at all times
  • Covering other PA(s) when annual leave is being taken
  • Ordering of stationery for the team(s) as and when required.
  • Assisting with any IT issues that may arise
  • Ensuring New starters are setup on the DL (distribution lists), shared drives etc.


Core competencies, knowledge and experience:

  • Proven experience in a Secretarial/Personal Assistant role
  • Previous experience working within Vodafone is an advantage.
  • Previous experience in a telecommunications environment is desirable.
  • Highly professional, confident and independent with exemplary organisational skills.     
  • Anticipates issues and is proactive in finding solutions with a mature approach. 
  • Able to work under limited supervision.      
  • Detail focused and ability to work to tight deadlines.
